Navigation through tally software / how to use tally?

Expert tally users probably find this tutorial as a yawner because this post aims for beginners. Tally is  a user friendly software; due to its user friendliness tally offer various options for navigation. This will enable faster data entry, and time saving for its users. Navigation can be done by using both key board and mouse.
Moving though tally using keyboard and mouse
Let’s start the navigation through Menu
Using Keyboard
To move through Tally menu, item one to another you can use up and down arrow key.To move up, press up arrow key to move down, press down arrow key, Right and let arrow key has no role in navigation
See the above image, the menu item with grey background ( InvenTory Vouchers)is showing that the cursor is lying with that item or it is the selected item
To move from InvenTory Vouchers to ImpOrt of Data Press down arrow key from  the keyboard, to move from InvenTory Vouchers to Accounting Vouchers hit up arrow key 
By using Mouse
For moving from one item to another just click on it, For example you want to select Accounting Vouchers item just click on it. The grey color back ground will be on it; this means that the item is selected.
Move on to sub menu
To move on to the next level menu press enter from the keyboard and to come back to previous menu press escape ( Esc) button 
To move on to Accounts info sub menu Select it and press enter.
To come back to Gateway of tally press Esc button 
By using mouse
To move on to the sub menu, double click on it, For instance moving on to the sub menu of accounts info double click on ‘Accounts info’ 
Access button control through key board
By using Keyboard
On the right hand side and on top of the software you can see so many buttons, Lets discuss why these buttons have Single underline, Double underline, Without underline, Inactive buttons etc.

Buttons with Single underline

Single underline indicate that Alt key is the combination used along with the Function and (F1, F2), Alphabet (H, I) key to use this button.

From the above image[ F2: Period] Is he key with single underline, to use this key ,you have to press Alt key and F2 key at a time from your keyboard [Alt+F1]
So single underline point out Alt key

Button with Double Underline

Double underline indicate that Ctrl key is the combination with Function and (F1, F2), Alphabet (H, I) key to use this button.

From the above example’ H: Support Centre’ is the double underlined button, you have to press Ctrl’ ‘Button and H’ button at a time to use it [Ctrl+H]
So double underline indicate that ‘Ctrl’ Key

Button without Underline

Button without underline indicates that a single key stroke is required to activate this button.

The above example shows that F2:Date is the button without underline, So press F2 function key only to use this button

Inactive Buttons

Inactive buttons says that this button cannot be used in the current screen
By using Mouse
To use a button using mouse, point the mouse curser over and click on it, For example

Navigation using hot keys

Tally offer another navigation method which is called hot key. Hot keys are the keys from your keyboard normally alphabetic letter, to access a menu using hot key just press the key
How to find out hot key?
It is very easy to find out the hot key of Display Menu item is D, D is in boldface letter and when the menu is selected hot key visible red in color, use that alphabet from your keyboard to go to the particular menu.


To go to ledger you have to Press D, A, L in pursuit from the gateway of tally (Display, Account Book, and Ledger

How to enable and disable automatic loading of Companies at startup?

We have completed new company creation, alter existing company, and tally data management in our previous lessons. Tally load companies automatically when we open the software. Let’s learn enabling and disabling loading of companies at start up.

Automatic loading of company at the time of opening software

By default, Tally software loads the first company you have created. Each company will be given a unique system generated code starting from 10000, so the first company’s code will be 10000 and tally sets the company with the code number 10000 loads automatically. Every time when you start tally program, this company will load without any question.
How to change the default setting of company auto loading

Sometimes you may not want to load the first company.You may want to load  second or third company . In such a situation, you can change it and its sequence of loading.

Manage Automatic loading in tally ERP9

Access the following screen

Gate way of tally »Press F12 »Data Configuration

Data configuration screen will be displayed
Select Location of Data files, Default location is C:\Tally.ERP9\Data, if you have stored data in another location will be displayed here.

Enabling and disabling of companies at startup

Move on to the next field ‘Load companies on startup’ type ‘Yes’ if you want to load the company automatically or Type  ‘No’ If you don’t want to load at the time of startup.
If you have chosen YES, follow the below steps to manage preloading.
Press enter to reach ‘Preload Companies on startup’ the default company’s number already will be there i.e., 10000
Now press enter to select next company that is required to be loaded at the time loading, by this way you can select number of companies.
Another important fact is that the company selected in the first raw will be loaded first and in the second row loaded second. You can set the sequence of loading by this way.

Preloading of companies that are stored in another location

You may have stored data’s in multiple locations other than default location for e.g. D:\Data. In such cases those companies will not be shown in the company’s list .To Select companies that are stored in another location select Specific Company. A new window will be displayed. Enter the complete Path of the data

For example
Suppose there is a company stored in D:\Data\. When you create a company in this location the system will create a folder namely 10000.
So the data location for the particular company is D:\Data\10000\
Type the data path in Specific company window.Press enter.
Now the final screen will be like this
Press enter to accept the screen, tally will ask you to restart the software .allow restart.
Next time when you open software all the selected company will be automatically opened or loaded.

Change auto loading of companies in earlier versions of Tally

Now let’s learn another method of enabling auto loading, previously mentioned method will not work with earlier versions of tally like Tally6.3, 7.2, 8.1 and 9
In earlier versions also tally automatically loads company that is created first. Let’s learn how to change companies in auto loading
Let’s do this with Tally 7.2
Go to program folder if you don’t know where it is located
Right click on the tally icon from desktop>> Click on properties>>Click find target
The program folder will have opened in front of you
Open tally.ini file
This will open a notepad and locate the following words
Default Companies = Yes
Load = 0001
If you want to disable auto loading change it as follows
Default Companies = No
Load = 0001
If you want to load the second company first, change it as follows
Default Companies = Yes
Load = 0002
If you want to load more than one company change it as follow
Default Companies = Yes
Load = 0001
Load = 0002
Load = 0003
I think there is no way to open companies that are stored in multiple locations at a time.
Now save the file and close the folder and open tally the companies will have loaded at the time of startup.
The second method also work with Tally ERP9

Opening (loading) and closing (shutting) of companies in tally


Loading of a company is the next step after creating a new company. Tally software sets the first company loaded automatically. We have provided the complete information of automatic loading of companies in tallyhere.

Select or open an existing company?

To open a company it must exist in the tally data folder. Normally, when you open tally software, it opens a company and directly goes to Gateway of Tally.

To select another company Click on the button F1: Select Cmp on the right top of the screen
Or
Press F1 Function key from your keyboard
The company selection screen will be appeared in front
Use up and down arrow screen from your keyboard to select desired company to load
Press enter key on the company highlighted; the selected company will have loaded.

Load company when auto loading is disabled

If you have disabled auto loading of the company, when opening tally software, the Company info menu appears first.


Select company menu is highlighted by default
You can access the company selection screen by adopting any of the three ways
  1.        Press Enter when Select Company Menu is highlighted
  2.        Press ‘S’ from the keyboard( Hot Key function , will be discussed later)
  3.        Press F1 ( Function key)  From the key board



Now select the company and press enter.
You can open numerous companies at a time.

Closing or shutting of a company in tally.

To close a company, make sure that you are in the gate way of the company, If not press Esc to come back
Press F1: Shut Cmp  button  on the right button panel
Or
 Press Alt+F1 (Press Alt and F1 at a time)
Shut company screen will be displayed
Select the company using Up and down arrow key from keyboard. Press enter; the company will be disappeared from the list
 You can close the company in the following way also.
Press F3: Cmp info button on the right panel
Or Use Alt +F3 (press Alt and F3 at a time) from key board to have company info screen


Select shut company and hit enter the Shut Company screen displayed
Highlight the company that is to be closed hit enter. The Company will have closed, do the action again if you want to close another company.
